Tax Data - Financial Data
Please do not confuse Nautilus with [Tax Cut]. Despite the fact that many websites miss-categorized our product as tax software, Nautilus is NOT a tax preparation software, it is a book keeping software, however it will give you the compiled data to prepare you taxes with whatever tax program you want to use, or simply bring the printouts to your CPA. Think of our product as a highly sophisticated shoe box that organizes your financial, mileage, fuel and equipment maintenance records.
Once there are several trips in the
database this statistics and tax report screen becomes useful. Here
the driver can ran total summary for a given month, quarter, year or
any time frame specified.

To run a report the drive must select the time frame
he or she is interested in. By default the software sets the time
frame one year back from "today". Clicking "Build
Report" button will fetch all the trips and all the financial
data from the database that falls withing the time frame specified
for the report.

Averages and statistics

Average Make per hub mile - will
only be shown if the driver entered the [odometer
readings]. If no odometer
reading is entered on the trips then this value will show "NO DATA". If driver enters the mileage only on some trips then this field will show
data, but it will not be correct because the odometer records are incomplete. Remember garbage in garbage out,
the totals are only as good as the accuracy of the data entered in
the first place.
Average Cost per hub mile - same
as above. If no [odometer
reading] entered no data can be displayed. Else it will show the
cost per actual hub mile based on all the miles recorded in the trips
selected for the report and all the expenses including all
deductions.
Average pay per hub mile - same
as above, no [odometer
reading] means no data shown. Else it shows the actual
profit for each rolling mile.
Miles per gallon - again the
same is true about the odometer entries, but if they are present the
software will calculate the trucks MPG based on the fuel bought
and miles recorded. The [estimated
mileage] have no affect on this figure.
NOTE: If the report contains trips that were ran with more then one truck, the MPG shown is the average for ALL trucks involved.
Financial breakdown

Follow the colors on this screen to
understand how the figures are arranged.
Saving accounts
The [Savings]
paid in from the trips selected for the report is the total
amount of all [savings type
accounts] that software encountered on all the trips in the
report. If you look at the rest of the green areas you will see the "Charge to saving" field that shows how much money was deducted
from those saving accounts by entries made in [Maintenance
record] area of this software, and the remaining balance is shown
just to the right of it.
Payments
Just below the total savings paid in
you will see the sum deducted for payments. This figure shows all the
fixed cost the driver have setup under [payment
account]
Any deduction made to an account of
payment type that falls within the time frame specified for the report
will be added to the total under payments.
Total Deductions
All the deductions together (payment
and savings type) are added to the total deduction field and are part
of the total expenses for the selected trips.
Truck fuel
Below Total Deductions you see your
truck fuel purchase total, (whether it was charged against [fuel
account] or not). The use of Fuel account does not affect this or any other report in this software.
Trailer fuel
Same as above
Loading / Unloading
If driver recorded any lumping fees under
[Trip Sheets - Stops] the
total of loading and unloading will be shown here.
Other expenses
This is the total of all miscellaneous
expenses the driver have recorded on the trips.
To the right of the deductibles you see
the Gross trip pay and the figures such as payout and total taxable.
Payout
This is what was
paid out to the driver in a form of a pay check of some sort.
Total taxable
Is the sum of
remaining balance on the savings account (driver's money), remaining
advance balance (also driver's money) and the figure shown in the payout field.
TIP
If any
money shown on advance balance for the time frame of more then a
quarter the driver should really look at the money management. If driver manages the advances well the advance balance shown on this screen should show a figure close to 0. The closer to $0 the better. If the figure is anything other then 0 the driver is taking more advances then needed and therefore get a smaller paycheck.
Details and charts

Very
straightforward, this is the sum of all your miscellaneous expenses,
payments made to the accounts and list of the trips in the report.
The time line chart

Time line chart
represents three variables superimposed on each other. The trip
pay, the cost to run
that trip and profit marine.
Each trip is
represented by an invisible vertical line. If you look close you will
see that all the three different color dots are always aligned
vertically. One vertical arrangement of those three dots represent one trip. So the higher the red and lower the green the better the profit margin. In other words. The higher the trip pay and the lower
the cost to run it the higher the profit. In the software
the driver can zoom in on any area of the time line chart by dragging
a rectangle with the mouse over the surface of the chart. Charts can be sent to a printer by using a right mouse click.
